3 Operational Fixes That Add an Extra Day Back to Your Week

Be honest… how many times have you said, “If I just had one more day in the week, I could catch up”?

Yeah. Same.

Truth is, you don’t need another day. You just need to stop losing the one you’ve got, to meetings that should’ve been emails, decisions your team could’ve made, and systems that only work when you’re the one running them.

At Virtual Ease by Simone Inc., we help CEOs reclaim control of their time. With a few operational tweaks, most leaders get 5–10 hours back per week, that’s basically a full day.

Let’s break it down.

1. Stop Being the Human Approval Button

Look, you’ve built a great team, but somehow everything has to run through you. Every little decision, every invoice, every “quick question” lands in your lap.

Sound familiar?

Fix it: create Decision Filters, simple rules your team can follow so they don’t need your sign-off for everything.

Examples:

  • Handle refunds or reimbursements under $100; larger amounts need the Client Success Manager’s approval.

  • Approve social media scheduling for pre-approved campaigns; new campaign content requires the Social Media Strategist’s review.

Now they know the rules, and you get your time (and sanity) back.

“You’re not loosing control, you’re multiplying your brainpower through the team by teaching them to think like you.”

2. Set a Rhythm. Don’t Let Your Calendar Run You

If your week feels like whack-a-mole, you need a CEO Rhythm, a flow that locks in your focus, makes your days predictable so you can actually plan, builds in real breaks, and keeps the chaos from running the show.

Try this:

  • CEO Time Blocks: 2–3 mornings a week that are just for strategy. No meetings, no Slack, no interruptions.

  • Email Time Block: 15–30 minutes scheduled once a day dedicated solely to email. This eliminates constant checking.

  • Theme Your Days: Mondays for planning, Thursdays for strategy, Fridays for team meetings.

Structure doesn’t cage you, it frees you. Once your calendar starts working for you instead of against you, you’ll feel ease again.

3. Build Yourself a “Delegate Playbook”

Whenever you notice something you don’t have to do yourself, document it. For each task, include:

  • Prospective Owner (by role): Who could take this on if you had the right person.

  • Purpose: Why this task matters.

  • Tools Needed: Any software, templates, or systems required.

  • Instructions: Simple step-by-step so simple a caveman could pick it up.

If you already have a team member in that role, delegate the task!

If you don’t yet have someone in that role, your playbook becomes a roadmap, it shows you which roles or hires would free up the most of your time.

A Delegate Playbook turns scattered mental notes into a repeatable, scalable system. It protects your focus, empowers your team, and gives you a clear picture of where you should invest in hiring next.
